Checklist: preparing for your traineeship

Below you will find information that will help you plan for your stay abroad before, during and after completing your traineeship.

1. Before your traineeship

Am I eligible?

To be eligible to apply for an Erasmus+ traineeship grant, you must be registered for full-time studies and intend to graduate from Mid Sweden University. You can also go for a traineeship abroad as a recent graduate. In this case, your traineeship must occur within one year of your graduation and you must apply while still being enrolled at Mid Sweden University.

The traineeship must always be approved by the department (for example by the course/ programme coordinator). Your traineeship must be relevant for your degree-related learning and personal development needs and, wherever possible, be integrated in your study programme. The internship must correspond to full-time work during a continuous period for a minimum of two months up to 12 months.

You can benefit of an exchange abroad with Erasmus+ multiple times, either as a student or as a trainee, but your total time abroad (study abroad periods included) may not exceed 12 months within one cycle of study.

Application process

Applications are accepted on an ongoing basis and applications are granted as long as the criteria is met and there are funds left. You apply when you have secured a placement and it has been approved by your department. You cannot apply for an Erasmus+ traineeship grant if you have already started an internship. Grants cannot be awarded afterwards. You should hand in your application well in advance, at least 4 weeks before the start of your traineeship to ensure you receive the grant in time. 

You apply by completing the documents below, scan and send the complete and signed documents to International Relations Office and name the email "Application Erasmus + grant for traineeship." Please note that documents that are missing information or signatures will not be considered.

Required documents

1.Learning Agreement for Traineeship 
Fill in pages 1 and 2 of the document, down to and including the three signatures. This document is the contract between the student, the host organisation and Mid Sweden University. The document needs to be filled in and signed by the student, the course/programme coordinator at the department at MIUN and the contact person at the traineeship placement. Note that if you apply for an internship within the framework of a /degree project / essay, then the signature concerning "Responsible person at the Sending Institution" must be your essay supervisor at Mid Sweden University. 

2. Grant Agreement for Erasmus + traineeship
This document is filled in by the student and signed by both student and the contact person at Mid Sweden University e.g. course or programme coordinator at the department. Fill in your information on page 1, then the signatures on page 5.

 

Where can I go?

Countries in the Erasmus+ programme

Your Erasmus+ internship placement can take place in any of the Countries of the European Union (outside of Sweden), as well as countries and territories on the European Union’s list of overseas countries and territories.

The countries are dividied in two groups based on living costs.

Group 1: Programme countries with a higher cost of living: Grant of € 650 per month.
Denmark, Finland, Iceland, Ireland, Luxembourg, Norway, Liechtenstein.

Group 2: Programme countries with a lower cost of living: Grant of € 550 per month.
Austria, Belgium, Germany, France, Italy, Greece, Spain, Cyprus, Netherlands, Malta, Portugal, Bulgaria, Croatia, Czech Republic, Estonia, Latvia, Lithuania, Hungary, Poland, Romania, Slovakia, Slovenia, the Republic of North Macedonia, Turkey, Serbia.

 

 

Erasmus+ Learning Agreement for traineeship

The Learning Agreement is the  contract between the student, the host organisation and Mid Sweden University. This document should be filled in and signed by the student, the course/programme coordinator at the department at Miun the contact person at the traineeship placement. Note that if you apply for an internship within the framework of a /degree project / essay, then the signature concerning "Responsible person at the Sending Institution" must be your essay supervisor at Mid Sweden University.

Approved host organisations

All companies or organisations in the public or private sector can be approved as internship hosts. Other approved hosts are embassies, consulates and representations (Swedish included) within the EU and the political parties within the European Parliament. Foreign Higher Education Institutions may also be hosts, however, the following conditions apply:

You must either work or collect material for an essay or dissertation during the period.
You should not be enrolled in courses at the host university (with the exception of practicum internships if this counts as a course at the host university).
If the internship period is credited, it must be credited as an internship/essay/dissertation/practicum internship, and not as a course

Non-approved hosts

Non approved hosts? EU institutions and other bodies.Organisations dealing with EU programmes (such as international secretariats at universities). This is to avoid possible conflicts of interest and/or double financing. Universities that are mainly financed by EU funds. List of EU institutions on the European Commission website.

Finding a placement

It is up to you to find your internship and this must be done before you can apply for the grant. Your faculty or department may also have useful networks through research collaborations and exchange agreements. You can also contact a company or organisation that interests you. Large companies and organisations often advertise internships/traineeships/student projects on their websites. 

Do not forget to get your traineeship approved by your course/programme coordinator at your department when securing your intersnhip placement.

Erasmus+ grant

The grant amount is based on the country in which your traineeship takes place and the length of your traineeship. The scholarship should cover additional costs in connection with your stay abroad e.g travel and housing. It does not cover everything. Current amounts are € 550 or € 650 a month depending on host country.

Please note that it is not allowed to receive other grants or scholarships from the EU or the Swedish Council for Higher Education for the same period you receive the Erasmus grant for a traineeship.

Group 1, Scholarship of €660/month

Programme countries with a higher cost of living: Denmark, Finland, Iceland, Ireland, Luxembourg, Norway, Liechtenstein.

Group 2, Scholarship of €550/month

Programme countries with a lower cost of living:
Austria, Belgium, Germany, France, Italy, Greece, Spain, Cyprus, Netherlands, Malta, Portugal, Bulgaria, Croatia, Czech Republic, Estonia, Latvia, Lithuania, Hungary, Poland, Romania, Slovakia, Slovenia, the Republic of North Macedonia, Turkey, Serbia.

 

Erasmus+ Online Language Support (OLS)

The Online Language Support (OLS) for Erasmus+ students is available on the platform EU Academy.


It provides a range of interactive and engaging language learning activities to help outgoing Erasmus+ students learn a new language or master a language already studied. The best part is that it’s designed to
cater specifically to the needs of each learner. This means you’ll enjoy a unique language learning experience, which you can embark on at your own pace.

It only takes a few seconds to set up a profile, and the intro module quickly walks you through the process of creating an account, which you can use to access OLS and lots of other short courses on the EU Academy.

Insurance

You are insured by Mid Sweden University during the entire internship period (as well as 14 days after) through Kammarkollegiet's insurance 'Student Out'. The insurance only applies in the country where the internship takes place, so if you plan to travel  you may want to add a private insurance insurance.

Additional support for Erasmus+ students with disabilities

If you are an outgoing Erasmus+ student with a disability, you and your Erasmus coordinator at Mid Sweden University can apply for additional funds from the Swedish Council for Higher Education (UHR) together. These funds can cover up to 100 percent of all additional costs in connection with the mobility abroad. Additional costs are increased costs which the institution or the individual participant has and which are not financed by other means, for example:

transport
teaching materials
housing
personal assistant
medical follow-up, physiotherapy
medical examination in the host country

You apply for the grant with the help of the International Relations Office at Mid Sweden University. Please note that the grant applies to students with permanent illness or disablities.

Support for Erasmus+ students with children

Outgoing Erasmus+ students and interns accompanied by children can apply for extra grant funding of EUR 200 per month, regardless of the number of children. Students on internship placements currently receive a special placement supplement of EUR 195 per month that students who do mobility for studies do not get. These supplements cannot be combined, but students on placements are entitled to the higher amount EUR 200 if the child requirement is fulfilled.  The application for a special supplement for children is made at the same time, and using the same form, as the application for the Erasmus+ grant.

You apply for the grant with the help of the International Relations Office at Mid Sweden University.

2. During the mobility

Termination

Should you decide to terminate your traineeship, please notify both the host organisation and the International Relations Office if you cancel. You may be liable for repayment if you end your internship earlier.

Changes during Mobility

Any changes to your mobility in terms of change of tasks, change of dates etc. you must notify the IRO by submitting "changes during mobility" which is part of your Learning agreement for traineeships and update your existing Learning agreement for traineeships. Email it to Lilja Persson, International Relations Office.

3. After traineeship abroad

After the mobility

After the Mobility Traineeship Certificate:
International Relations Office. The last part of the Learning Agreement for Traineeships must be completed by the host organisation in close connection to the end of your internship period. It is the the student's responsibility to make sure this is filled in properly at the end of the traineeship period and later email it to: Lilja Persson, International Relations Office.

Erasmus Participant Survey:
At the end of your traineeship period, you will be emailed a questionnaire from the European Commission which you are required to fill in when your traineeship period is completed.

Erasmus+ Online Language Support (OLS):
After your traineeship has ended you will be emailed another language test to complete

Tell us about your internship experience!

Students who have studied or completed an internship abroad will have the opportunity to participate in information sessions as a way to promote exchange studies and internships abroad. You may be invited to participate.
