Why We Need Your Data

We want you as a student to feel safe with how we handle your personal data. Here we explain in simple terms why we collect information about you (for what purposes), what we use it for and what rights you have.

We need to process your personal data in order for you to:

  • Get a library and student account, access to printouts, and file storage
  • enter our premises
  • be admitted to education and registered for courses
  • Get grades and attendance registered
  • carry out exams, other examinations and plagiarism checks
  • collaborate with teachers and other students
  • Get the right course information on the student web
  • be shown with a photo in the university's channels
  • access to support, premises, materials and specific support measures;
  • receive study and career guidance
  • be able to communicate with the university as a student
  • be able to go on an exchange or apply for a travel grant
  • participate in the follow-up and evaluation of the education and contribute to the basis for development
  • comply with laws and regulations, e.g. keep records of study results and degrees
  • contribute to official statistics and reporting
  • are covered by decisions on enrolment and tuition fees
  • are subject to measures in the event of unpaid fees
  • are subject to the investigation and handling of disciplinary matters
  • contribute to and take part in research

We also process your personal data so that we can:

  • be able to follow the rules regarding public documents and government archives.

What personal data we process about you

  • Identity information (name, social security number, student ID, photo)
  • Contact information (address, telephone, e-mail)
  • Study administrative tasks (admissions, course registrations, grades, attendance, degrees)
  • Financial data (tuition fees, payments, bank details, travel grants)
  • IT and login credentials (account, user ID, password, system and facility access logs)
  • Sensitive data (special support needs, disability, data in disciplinary matters, research data)
  • Communication data (email, learning platforms, chats, survey responses, correspondence)
  • Statistical and reporting data (background variables, demographics, aggregate results)

Legal basis

When we process your personal data, we do so in order for us to be able to fulfil our official assignment or to comply with laws and regulations. We process your personal data in order to fulfil a task carried out in the public interest, as part of the exercise of our official authority or due to a legal obligation. In some cases, we ask for your consent to do this, for example in the case of transferring your personal data outside the EU in order for you to go on exchange studies.

When do we share your personal data with others?

In some cases, we need to provide further information, for example to:

  • CSN (for student aid)
  • other universities and university colleges in Sweden or within the EU/EEA, for example in connection with credit transfer, exchange or eligibility checks
  • The Swedish Council for Higher Education through antagning.se
  • Statistics Sweden (for statistics)
  • other authorities in Sweden, Switzerland and the EU/EEA, for example when processing professional qualifications and licences
  • the student unions at Mid Sweden University
  • Swedish Research Council
  • Swedish Agency for Innovation Systems (Vinnova)
  • The Swedish Research Council for the Environment, Agricultural Sciences and the Built Environment (Formas)
  • The Swedish Research Council for Health, Working Life and Welfare (Forte)
  • Swedish Institute
  • Swedish Higher Education Authority
  • Services that collaborate with the university's login system, in Sweden and internationally.

Transfer to third countries

If you apply for exchange studies or collaborate with an organisation outside the EU/EEA, we transfer personal data to that organisation. If we share data outside the EU/EEA, we always make sure that it is done in a secure manner. We also transfer your personal data to service providers such as Canvas. If their servers are located outside the EU/EEA, we make sure to take all relevant security measures to ensure that your data is handled correctly and securely.

How long is Your data stored?

In the vast majority of cases, there are rules regarding public documents that govern how long we process your personal data, so-called deletion regulations. These rules may state that we shall retain your personal data for two (2) years, (for example, your answers to an exam), that the information shall be kept in perpetuity (such as your degree certificate) or a period of time in between. It depends on the public document to which the question relates. Read more in Mid Sweden University's information management plan.

Your student account will be deleted when any of the following occurs, you have not been logged in for the last 12 months or if you have not been registered as a student for the last 12 months.

Your rights 

  • You have the right to request access to, rectification, deletion or restriction of your personal data.
  • You also have the right to object to the processing of personal data

You can contact the University's Data Protection Officer if you want to exercise these rights. Dataskyddsombud@miun.se You also have the right to file a complaint with the supervisory authority, the Swedish Authority for Privacy Protection (IMY) or by telephone on 08-657 61 00 if you think that we are processing your personal data incorrectly.
