Information for data subjects
As a starting point, the person whose personal data is processed must be informed that the University is processing the data and be informed of a number of other tasks. Contact the Legal Function if you need help producing or reviewing the information that is to be provided to the research subjects in a research project.
There are some exceptions to the information obligation in the General Data Protection Regulation. The exceptions can only be used when the data is retrieved from someone other than the data subject, for example from a register, and the starting point is that they must be applied restrictively.
Exceptional situations
- When the provision of the information is found to be impossible.
- When the provision of the information would entail a disproportionate effort.
- When the provision of the information is likely to make it impossible or significantly impede the achievement of the objectives of the processing.
If a research project concludes that one of the exceptional situations applies, the data subject must document its position in writing and provide a reason why the data subjects will not receive information about the processing. In addition, general information about the processing of personal data that takes place within the research project must be made available to the public.
Appropriate protective measures shall also be taken. The appropriate measures may be determined on a case-by-case basis, but may include, for example, carrying out an impact assessment, using pseudonymisation or minimising the number of data collected and the time it is stored. This template is intended to be used in research projects at Mid Sweden University where personal data is processed with public interest as a legal basis according to the General Data Protection Regulation (GDPR). The template must be provided to participants/data subjects as information about the processing of their personal data.
